Privacy Policy

How PRO-BUYERS handles personal information across our website, Property Hub, Client Portal and real-estate services.

PRO-BUYERS Real Estate Agency is a trading name of Liberate Metallurgy Pty Ltd ABN 52 662 909 766 (“PRO-BUYERS”, “we”, “us”). This policy explains how we handle personal information and should be read with any specific collection notice provided when we request information.

Information we collect

Depending on your interaction with us, we may collect your name, contact details, address, buyer or seller profile, property goals, financial or budget ranges, purchase timeframe, referral and campaign information, calculator inputs, property and portfolio information, communications, service records, and documents you choose to provide through an approved channel.

Approved clients may store property, portfolio, due-diligence, offer, transaction and related professional documents in the authenticated Client Portal. We may also collect technical and security information such as device, browser, approximate location, access logs and form-submission data where our systems or providers make that available.

AML/CTF information

When required for anti-money laundering and counter-terrorism financing purposes, we may collect identity details, date of birth, residential address, identity-document data, occupation or business information, authority to act, company/trust/SMSF details, directors, trustees, beneficial owners and controllers, politically exposed person or sanctions-screening information, transaction purpose, source of funds and source of wealth.

This collection may be required or authorised by the Anti-Money Laundering and Counter-Terrorism Financing Act 2006 and AML/CTF Rules. If required information is not provided or cannot be verified, we may be unable to begin or continue a service. See AML/CTF & Customer Verification.

How we collect information

We collect information directly from you, from a person authorised to act for you, through our website and authenticated systems, during calls and meetings, and from property, corporate, professional, government or commercial sources where lawful. For verification and risk screening, we may use reliable independent electronic or documentary sources and approved service providers.

How we use it

We use information to respond to enquiries, provide website tools, assess service suitability, deliver buyer-agency and property-sales services, research and assess property, administer the Client Portal, manage appointments and communications, secure and improve our systems, comply with legal and professional duties, and maintain business and compliance records.

Marketing consent is optional. Where consent is required, we use contact information for marketing only when you opt in or another lawful basis applies. You may withdraw consent or unsubscribe at any time.

Disclosure

We do not sell personal information. We may disclose relevant information to technology, hosting, CRM, email, identity-verification, corporate/ownership, sanctions or screening providers; finance, legal, tax, conveyancing, valuation, building, property-management or other professionals involved at your direction; sellers, buyers, agents and transaction parties where needed for the service; insurers, auditors and advisers; and AUSTRAC, law-enforcement bodies, regulators, courts or other parties where authorised or required by law.

Some website or professional service providers may process information outside Australia. Provider locations can change. Where required, a collection notice will identify likely countries or regions known for the particular service before or when information is collected, and we will take reasonable steps concerning overseas handling.

Advertising measurement

We use the Meta Pixel on our home and public property-report pages to measure visits and successful report requests and assess our Facebook and Instagram advertising. Meta may receive browser and device information, page URLs and advertising cookie identifiers and associate these with your Meta account. We do not add your report-form contact details or property address to the conversion event. You can manage advertising preferences in your Meta account and cookies through your browser settings.

Client Portal and identity documents

Upload only material reasonably required for the property or acquisition workflow. Do not upload passwords, complete banking credentials, or identity documents to a general website form or ordinary Portal document area. If AML/CTF verification is required, use only the secure method specifically provided by PRO-BUYERS.

We aim to retain the minimum identity information needed to evidence verification and comply with law. We do not routinely retain complete passport or driver-licence copies after they are no longer needed for an authorised purpose. Copies will be destroyed or de-identified when no longer required, subject to legal holds and other applicable obligations.

Security, retention and deletion

We use administrative, technical and physical safeguards appropriate to the information and service, including authenticated access and restricted internal permissions where available. No internet service is completely secure. Please contact us promptly if you believe information or Portal access has been compromised.

Retention periods depend on the record and applicable law. AML/CTF customer-due-diligence and transaction records are generally retained for statutory periods that can extend for at least 7 years. Other information is retained only while reasonably required for service, legal, insurance, dispute, security or legitimate business purposes, then destroyed or de-identified where appropriate.

Access, correction and complaints

You may request access to or correction of personal information we hold about you, subject to lawful exceptions. You may also make a privacy complaint. We may need to verify your identity before acting on a request.

A privacy collection notice may add information specific to a form, verification provider or transaction. We may be legally restricted from disclosing information where disclosure could prejudice an investigation.
